Begin with your insurer's requirements
Contact your insurer and ask what information it needs about the roof damage. The policy and claim process are its responsibility, so keep that answer separate from a roofer's description of repair work. Ask how it wants photographs, quotations and any immediate work recorded. Retain the response with your claim correspondence so you can refer to the actual instructions. Make a factual record of the damage
Write down when you noticed the problem and describe what you can see safely. That includes water entering a room, a new ceiling stain or fallen roof material observed from the ground. Keep any photographs with those notes, and separate older defects or previous repairs from the damage you are now reporting. Get the roof work described by component
